Visa exemption measures will be resumed from 0:00 am (JST) on October 11, 2022 for some countries/regions. Please refer to the following website for further details.

For those who need visa application documents, a fee of 10,000 JPY will be charged per person.

Payment Procedure Visa application section of the registration form must be filled out. Copy of passport and travel itinerary also needs to be uploaded. Please download the itinerary template and be ready to upload it before you proceed to registration. It will take a few working days to send you documents by e-mail.


Immigration procedures to Japan

On September 26, Prime Minister of Japan announced a new boarder measures. In short, people who are not suspected of having COVID-19 and who have a valid vaccination certificate or a negative certificate within 72 hours before departure can enter Japan as they did before the COVID-19 pandemic. For details, please see the original text from Ministry of the Foreign Affairs of Japan below.

From October 11, 2022, except for returnees and entrants with symptoms of suspected COVID-19 infection, on-arrival test at the quarantine station, self-quarantine in places such as their own residence or accommodations, and refraining from use of public transportation will no longer be required. On the other hand, all returnees and entrants will be are required to show either a valid COVID-19 vaccination certificate of three doses of vaccines prescribed on the Emergency Use List of World Health Organization (WHO), or a certificate of negative test result of pre-departure COVID-19 test conducted within 72 hours prior to departure from the original country/region. This measure will be applied from 0:00 AM (JST) on October 11, 2022.



In Japan, to prevent the spread of novel coronavirus (COVID-19), the immigration procedure comprises the following two steps:

  1. VISA application

  2. Registration of visitor's information to MySOS

  3. Japanese Border Measures


[IMPORTANT] The border measures have been changing frequently. Please refer the latest information at the website of Ministry of the Foreign Affairs of Japan.


  1. VISA Application

After October 11th, those who did not need a visa to enter Japan will no longer need to apply for a visa. Currently, all foreign nationals who wish to newly enter Japan need to apply for a visa except for those with re-entry permit. The VISA application consists of the following three steps. The Humanoids2022 organizing committee and our travel agency will support the steps 1&2 with additional fee (JPY10,000). If you need the support, please check the corresponding box on the online registration system.

  1. Registration of the Entrants, Returnees Follow-up System (ERFS)
    The conference needs to register visitors' information to the ERFS. Please fill in the form on the
    online registration system. The organizing committee will provide the certificate of the ERFS. ERFS application will be no longer needed.

  2. Arrangement of the VISA application documents
    In addition to the certificate of the ERFS, some documents are required for VISA application. Please refer to Application for Visa for foreign nationals eligible for Phased Measures toward Resuming Cross-Border Travel for more details.

  3. Submission of the application documents
    Please submit the required documents to Japan’s overseas establishments in your country / region.


  1. Registration of visitor's information to a system (MySOS)

Please create an account and answer questionnaires at Health Monitoring Center for Overseas Entrants (HCO), Ministry of Health, Labour and Welfare. We strongly recommend that you use the fast track through MySOS apps, if it is available for you.


  1. Japanese Border Measures

Every passenger entering Japan must submit a completed questionnaire (2. MySOS), and a vaccination certificate or a negative COVID-19 test result. One's quarantine depends on the classification of the country or region (“Red”, “Yellow” and “Blue” categories) of stay prior to one's arrival in Japan as well as one's vaccination status. The Japanese government can only approve vaccination certificates that indicate the use of vaccines which are approved in Japan. Those who are required to isolate must submit a written pledge to complete follow-up health checks. The required certificates and the country/region categories are shown in the following tables. If you will visit Japan from "BLUE" country/region and have a valid vaccination certificate, no quarantine is required for this travel.

New entry of foreign nationals

Based on the New Border Measures (29), from June 10, 2022, foreign nationals who apply for new entry into Japan based on either of the following categories (1), (2) or (3) below are regarded as those with “special exceptional circumstances,” and are allowed for new entry into Japan in principle, if the receiving organizations located in Japan complete prescribed applications in the ERFS.

(1) Foreign nationals newly entering Japan for a short-term stay (less than three months) for purposes including business and employment (continued from March 1)

(2) Foreign nationals newly entering Japan for a short-term stay for tourism (only when a travel agency among others organizing the trip serves as the receiving organization of the entrants) (start from June10)

(3) Foreign nationals newly entering Japan for a long-term stay (continued from March 1)

Required documents for the visa application (Currently, all foreign nationals who wish to newly enter Japan need to apply for a visa except for those with re-entry permit.) : A certificate for completion of Registration to the ERFS system obtained by a receiving organization through online application along with other visa application documents in response to the purpose of visit.
